I teach seminars and consult on how to run effective meetings.

Many of my clients must attend conference call meetings because the participants are so geographically diverse. Here are some killer conference call tips.

1. Establish a call-in and start time. Make the call-in time about five to seven minutes before the meeting starts. For example, “Call between 8:53 am to 8:57 am. The meeting will start promptly at 9:02 am. ”

Make your times weird; it causes people to remember and it is more likely they will arrive on time. It also shows you are paying attention to and respecting time. Stick to the times. Start exactly on time whether or not “the right” people are there. Even better, block late-comers from the call. You will only have to do this once or twice before everyone arrives on time. (This is true for in person meetings too. )

2. Allow some cacophony at the beginning of the meeting. Have everyone say hello simultaneously before you master mute them and ask them to mute themselves. This gives people a feeling of being in a virtual room together.

3. Establish a speaking order. You can’t see people raise their hand if you are on the phone. It’s too easy for people to either talk over each other, or be too polite and say nothing. Print the speaking order on the agenda. When you do a round and it’s a person’s turn, they can either speak, pass, or say “come back to me. ”

4. Have an agenda. All meetings must have one. It should be well thought out with realistic time frames so that items are not cut short, but the meeting ends on time. Each participant should receive the agenda before the meeting.

5. Keep group notes of people’s contributions. As people speak, someone who is designated as the flight recorder should write the essence of the point each person makes (in a couple of sentences or less). After each speaking round, the flight recorder summarizes to the group what she recorded and asks the group if that correctly summarizes the points people made.

Another option is to have the flight recorder summarize the point right after each person makes it. Each participant should also write down the flight recorder’s summary so they can see it in front of them. By keeping notes visually as opposed to just listening, it allows the group to more easily understand and integrate different points of view.

Continue to do speaking rounds as the agenda time permits. (After the call, the flight recorder should email her notes to all the participants. )

6. At the end of the call have everyone un-mute themselves and say good bye together. Again a little cacophony gives people the feeling that they have been together.

The benefit of connecting with people in groups over the phone can not be over stated. The attendees do not have to leave their offices and neither do you. When you can put 100 or so people in the “room” on a regular basis you will be able to sell more and service more and do so much more cost effectively.

There are a number of companies that offer Internet conference calls, that’s why they invented Google isn’t it?  Figuring out which teleconference services are right for you can be difficult, but it doesn’t have to be. This article provides some helpful tips for organizers, answers to questions often not considered until after your event fails to attract the people you targeted.

First, or so we are lead to believe, on most people’s minds is the cost of participating in the Internet conference calls.  There are some online teleconference services that are free, but each person calling in will be charged according to their regular long-distance rate, unless, of course, it’s a local call.

Is this a stumbling block for your target audience? With long distance charges in the $3.00 per minute range (unless you have unlimited service) is this tiny cost a barrier or a simple screening process. Let’s face it if they don’t think what you have to say is worth a couple of bucks in long distance charges, are they really likely to spend money on your products and services?

People calling in on a wireless phone will have to consider the costs that their company charges. Again, most of us have excess minutes we lose at the end of the month or plans that allow us to roll them over. And you can always buy a calling card for your land line service.

To me the cost of my making the call, as a participant, is a perception issue. How am I being perceived by the call’s organizer? Many companies like to provide free access to their conferences for their employees and/or clients.  There are several teleconference services that provide toll free 1-800 numbers.  With this type of service, only the conference organizer pays a fee.

Some providers add a surcharge onto the regular charge that applies to users phone services.  Others charge their fees to the organizer’s credit card.  Either way, someone pays.  The fees for toll-free conferences vary from 2-10 cents per minute.

To keep your costs down, offer the maximum value, and to have a successful reception, it is best to have a plan for the call itself.  If you will do most of the talking, rehearse your presentation and time it.  Print it out and have it in front of you at the time of your call.  Think about questions that people may have and allot a specific amount of time for questions and answers.  That way, you won’t be surprised when your credit card or phone bill arrives.

If you are new to teleconferencing, it will be easier if you select a company that provides a guide to help “walk you through the process”.  This should be a free service included in the fee you have agreed to pay if any, with no additional charge tacked on.

You will need to decide if you want scheduled conferences, meaning that your employees or business associates have a specific time to call in.  Or, some companies allow reservation-less calling that provides more flexibility for both the organizers and the participants.  This is pretty slick because you can easily, using your own tools, let people known what’s going on, you can create a conference “on-demand”.

Most Internet conference calls that we’ve seen are limited to 150 or so participants.  If you need or want to reach more people, you can schedule several conferences.  Just don’t schedule them too closely together, as the time may run longer than you expect. Some, especially those using Internet conference call services for marketing purposes, will have 2-3 calls set up during the same day/evening to accommodate more people as well as folks around the globe.

The people who attend one of these calls are invited to a special follow up call a little later. This is a two step prospecting approach that really works – especially when there is some minimal charge for the second call. Even if it is $1.00 the result is a very high probability that a sale will be made to the folks who attend the follow up call.

Perhaps the most productive use we’ve seen for regular Internet conference calls is when a group of five or six individuals use the process as a place to hold regular peer group meetings. Services exist that allow one person, perhaps a different member every time, to be in charge – manage the call itself and field instant text messages from members of the group.

In some cases the service also allows for instantly recording the conversation itself, so if someone at the last minute finds that they can not attend the information shared that day can be recorded for their future listening.

There is no doubt that our successes and our failures are the result of one thing and one thing only! They are both the direct or indirect of the decisions we make. It’s that simple, not easy to do on your own however. The Internet provides a practical venue for the conference call. With its low cost and ability to accomodate many listeners it is now practical to open a conference call to almost anyone (at least to listen). Many firms now do.

For example, a recent article in the Wall Street Journal related how IOMEGA does this as an efficient way to control the irresponsible babble on Internet bulletin boards. People posting idle chatter now attract accurate responces from others who have heard the actual story on a conference call.  As a result, the irresponsible postings are controlled.

Naturally, investment professionals complain that this allows the novice to access raw information that needs interpretation by someone more knowledgable – namely such a professional.

However, companies like the ability to make one public statement, and then be free from goverment limitations on how investment information must be released. And individual investors like it too, as access to this information gets them access to information that once only slowly reached the average investor. Even Chairman Levitt of the SEC sides with the theory of greater access for the masses. According to an article in the 24 May 1999 issue of the Wall Street Journal, the NASDAQ has even funded a pilot program to pay for public access to conference calls. Firms such as DELL and Cosco are early participants.

Using the Internet has many advantages besides the instantaneous international release that results. It is possible to save the audio files so that the call can be accessed later at a more convenient time.

Plus it would be possible to edit out meaningless portions to provide sort of a “Cliff Notes” of each conference. Naturally, there are some limitations. If everyone could ask a question, real brawls could result as the conferences became uncontrolled. So most Internet systems limit who can ask a question.
An outstanding advantage for the average investor is to witness directly a firm’s management in action. While the information might be the same, an investor gains confidence in management that presents a virtuoso performane over one that is defensive, hesitant, and obfuscative.

The details aside, the speed of responce and other items that don’t get incorporated in an analyst’s report can add a lot to one’s understanding. Previously, a small investor’s only such access might have been at a company’s annual meeting.

Several firms have opened to provide investment-related conference-call services in one form or another over the Internet. Some require membership and user fees, but the trend seems to be toward company funding of the low cost service, and free or very low cost access by the public.

This form of communication is yet another form of ultimate corporate democracy.

Plan Ahead
How long the calls last is one factor that determines how much they cost, whether you are paying per minute for the service or your attendees are simply paying their long distance charges. And how long your webinar lasts is also a factor in whether or not people hang around until the end.

Whether or not you are making a seminar-type speech or presentation, you should write down what you have to say and then practice it.  Be sure to have someone listen to you and keep track of how long your presentation lasts and whether or not it hits on the key elements of your message.

Get the listener to give you feedback. Were you speaking too quickly? Did you make the points you had hoped to make?

Think about what questions your listeners might have after listening to your message. Do you want to allow time for a question and answer session after your speech?
